Getting Started with the New Grade

What is the new Grade app?
The new Grade is a rebuilt version of the same product. Your campaigns, creators, payouts, wallet and tracking are the same data in both apps — nothing is copied or migrated, so a change made in one is there in the other.
What is different is the layout:
- Everything is in the left sidebar, grouped into Workspace, Payments and Analytics.
- Dashboard is your home page: performance, what is waiting on you, and your wallet in one place.
- Search (⌘K on a Mac, Ctrl+K on Windows) jumps to any page, campaign, creator or tracked account.
- Create in the top bar starts a campaign, adds a creator, sends a payout, adds money or invites a member.
- Help (the ? button, or the ? key) opens the answer for the page you are on without leaving it.
How do I go back to classic Grade?
Open the account menu at the bottom of the left sidebar and choose Back to classic.
Grade asks what was missing — a feature you need, something not working, or simply preferring classic. Your answer helps us fix it; you can also choose Go back without answering. Grade then opens the classic version of the page you were on.
Your choice is saved to your account, so it applies on every browser and device. Nothing changes in your data. To come back, choose Switch to the new Grade in the classic account menu.
Classic Grade is available for a limited time. The last day is shown next to Back to classic in the account menu, in your own time zone. After that date everyone uses the new Grade.
Why do some sidebar rows open classic Grade?
A few areas have not moved to the new app yet. Their sidebar rows show a small arrow icon, and in search they are described as Opens the classic app:
- Content Review
- Inbox and Contacts
- Reports (financial reports)
They open in classic Grade in the same browser, with the same data and the same sign-in.
If a row shows Temporarily in classic under its name, that page has been moved back to classic for a short time while we fix something. It will return to the new app without you doing anything.
What is the Get started checklist?
Get started in the sidebar shows your setup progress, for example 3/5. The five steps are:
- Create your workspace — done as soon as your workspace exists.
- Add creators to track — track a creator’s social account. Creators do not need a Grade account to be tracked.
- Set up your creator program — create a campaign and choose how creators are paid.
- Fund your wallet — confirmed once a top-up settles, not when you submit it.
- Send your first payout — confirmed once a payout is sent. Pending or declined transfers do not count.
Steps are checked from what actually happens in your workspace, so there is nothing to tick by hand. Choose Refresh progress if you have just finished a step.
The checklist is for Admins, Finance and Members. Campaign Managers and Developers do not see it.
Why do payment pages say “Continue setting up your workspace”?
Tracking is free and ready as soon as you sign up. Paying creators — campaigns, payouts, Quick Pay and the wallet — needs your workspace to be activated first.
Choose Book a call to talk to the Grade team and enable creator payments, or Explore a sample workspace to try the payment screens with sample data in the meantime.
What is Demo mode?
Demo mode fills the app with a sample workspace so you can see how campaigns, payouts and approvals look before you have your own. Turn it on from the account menu, or with Explore with sample data on Get started.
While it is on, a banner says Demo mode is on. Sample data is shown where available; Tracking, Settings and Get started stay real. You cannot send payouts or open classic-only areas until you turn it off from the same menu.
How do I sign in?
Enter your email on the sign-in page and choose Continue with email. Grade emails you a 6-digit code — there is no password. Type the code to continue. You can also sign in with Google.
No code? Check spam and promotions, then choose Resend code (available every 30 seconds). A new code replaces the previous one.
Invited to someone else’s workspace? Open the link in your invitation email rather than signing up, or you will create a new, empty workspace.
How do I find a page, campaign or creator quickly?
Press ⌘K (Mac) or Ctrl+K (Windows), or choose Search in the top bar. Type at least two characters to search campaigns, creators, and tracked accounts, videos and collections. The same menu jumps to any page and runs the actions from Create.
The top bar also has Activity (the bell) for recent organization updates, and a feedback button — How is the new Grade? — which sends your rating and comment straight to the team.
To switch between light and dark, choose Dark theme or Light theme in the account menu.
Tracking and Analytics

How do I track an account or a video?
Open Tracking in the sidebar and choose Add tracking.
- Paste links under Account or video links, one per line — or drop a CSV, or type a bare @handle and pick its platforms. Up to 200 links at a time.
- For accounts, choose how far back to import posts: Last 12 months, Last 90 days, Last 30 days or Today onward. Optionally add a keyword so only posts whose captions match are discovered.
- Optionally file the results into collections, or attach them to a creator in a campaign with Also add to a campaign.
- Choose Start tracking. Grade shows a result for each link — Created, Already tracking, Restored, Failed and so on. Fix failed links reloads only the ones that need correcting.
An account keeps discovering new posts as they are published. A video link tracks only that post. Posts and their numbers are collected in the background, so a new account can take a little while to fill in.
Which platforms and links can I track?
TikTok, Instagram, YouTube, Facebook and X. Paste the full profile link for an account, or the post’s own link for a video:
- TikTok —

Search pages, feeds and hashtag pages cannot be tracked. If a link is refused, Grade says why on its line.
What does “Your tracking limit is full” mean?
Your plan includes a number of tracked accounts and videos, and it has been reached, so that link was not added. Videos discovered under a tracked account count too.
Stop tracking accounts or videos you no longer need, or contact Grade to raise the limit.
How do I refresh a post’s view count?
Open the video or account and choose Refresh now — or Refresh stats in a row’s menu, or select several rows and choose Refresh.
That queues a request with the platform rather than fetching a number on the spot, so the figure updates once the attempt completes. Grade tells you where it is: Refresh requested, then Latest refresh attempt completed or Latest refresh attempt failed. Check status looks again without sending a second request; Reload measurements re-reads what is already saved.
Some limits apply:
- Campaign videos can be refreshed 3 times each, at most once every 4 hours. If Grade could not queue one, your allowance is not used.
- A video whose tracking window has ended, or whose tracking is inactive, cannot be refreshed. Individual X posts cannot be refreshed.
- Refreshing needs an Admin or Member role.
When do the numbers update on their own?
Grade refreshes tracked content every day, so a figure can be up to a day behind what the platform shows right now.
Under the chart on an account, video or collection analytics page, Grade prints the actual refresh times, converted to your own time zone. A number that disagrees with the platform is usually the last daily reading rather than a wrong one — refresh the post if you need the current figure sooner.
How do I find and sort what I track?
Tracking has three tabs: Accounts, Videos and Collections.
- Search by text, or pick a column — platform, campaign, creator, hashtag or song.
- Source is Tracked only by default, which hides videos tracked through campaigns. Switch it to All to include them.
- The date filter narrows by day. On Accounts, Only videos uploaded in range counts only videos posted inside the dates.
- Sort by any column, and switch Videos between Table and Grid.
To share exactly what you are looking at, use Copy view link.
How do I export tracking data?
Select the rows you want and choose Export in the selection bar. The CSV contains the selected rows and the columns the table is showing.
Every analytics page also has Export CSV for its chart, and the Analytics dashboard can export everything on the view at once.
How do I stop tracking something?
Open the row’s menu and choose Stop tracking, or select several rows and choose Remove tracking.
Stopping an account also removes all of the videos discovered under it. This cannot be undone from Grade — track the link again to start over.
For a video tracked through a campaign, the option is Remove from campaign, and the campaign’s totals and pending payments update.
To change what is tracked instead of stopping it, choose Edit tracking range: move the start date (earlier requests a history backfill), set an end date, add a keyword filter, or change the duration.
What is a collection, and what makes one “Live”?
A collection is a named group of tracked accounts and videos you can open, chart and export as a unit. Collections are shared with everyone in your organization.
- A Manual collection holds exactly what you put in it. Create one with Add collection on the Collections tab, then use Add videos or Add accounts, or Add to a collection from any Tracking row.
- A Live collection keeps itself up to date from saved rules — search terms, platform, dates, creator, campaign or source. On the Videos tab, apply the filters you want and choose Save as Live collection.
- A campaign’s own collection follows the campaign and cannot be renamed or deleted separately.
Hashtag and song filters cannot be saved as rules yet. To change a Live collection’s rules, open it and choose Edit rule, Preview matches, then Save rules.
How do I rename, convert or delete a collection?
Open the collection’s ⋯ menu:
- Rename collection — the new name is shared with everyone; contents stay the same.
- Convert to Manual — the saved rules stop choosing what joins. The videos that match now stay. Accounts in it can still bring new videos. This cannot be reversed.
- Delete collection — removes it for everyone. The accounts and videos stay tracked.
To take something out of a Manual collection, open its Sources tab and choose Remove from collection. The item stays tracked, and Add back undoes it.
How do I read the chart on an analytics page?
Every point on the chart is a day a measurement was taken. Choose Daily change to see how much each day added, or Running total to see the total on each day.
- Only videos uploaded in range narrows which videos are counted to those posted inside the window. It never changes what a day on the chart means. It is available on collections, the Analytics dashboard and tracked accounts, for ranges up to 366 days.
- A Tracking started marker on an account or video shows the day Grade began recording it. A flat line before it means Grade was not watching yet, not that nothing happened.
- Engagement is (likes + comments + shares) ÷ views.
- Today is a partial day until its last refresh.
The hover readout, the table and Export CSV all use the same days, so a chart and its export always agree.
What is the Analytics dashboard?
Dashboard under Analytics in the sidebar shows performance across every campaign and tracked account: views, likes, comments, shares and engagement, the top campaigns, videos and accounts, and a posting calendar.
Narrow it to a campaign, creator or collection with the scope filter. Campaign Managers see only their assigned campaigns. Finance and Developer roles do not have the dashboard, and workspaces need analytics enabled to use it.
Why are Grade’s Instagram views different from Instagram’s displayed total?
The Instagram app combines Facebook impressions with real Instagram views, while Grade only reports the actual Instagram views. Grade separates the two so Facebook impressions are not treated as Instagram views in payment calculations.
Refresh the post first. If the difference remains, check whether it was also published to Facebook.
Who can use Tracking?
Admins and Members can view Tracking, add and stop tracking, refresh and manage collections. Campaign Managers work with tracked videos inside their campaigns instead; Finance and Developer roles do not see Tracking.
Campaigns and Creators

How do I create a campaign?
Open Campaigns and choose New campaign (or Create → New campaign).
- Campaign details — give it a title and a start date. The end date is optional: leave it empty for a rolling program.
- Creators — add creators by searching, typing an email, or with Bulk add from a CSV or pasted list (up to 500 at a time). You can also skip this and add them later.
- Review — check the details and choose Create campaign.
Payment terms are set after the campaign exists — see How do I set payment terms?. If you close the dialog halfway, your draft is kept for this browser session.
How do I add creators to a campaign?
On the campaign’s page, choose Add creators, then pick existing creators or add new ones by email. From Creators, you can also open a creator’s menu and choose Add to campaign….
Adding a creator does not email them. They hear from Grade when you send them a payout — the payout email is what invites them to claim it.
A closed campaign has to be reopened before you can add creators.
How do I set payment terms?
On the campaign’s page, open the ⋯ menu and choose Payment terms, or choose Set terms next to a creator.
- Choose Set up one creator or Set up several creators — several creators get the same terms.
- Pick the creators.
- Combine any of the payment types: Fixed (a guaranteed fee for the campaign or per post), CPM (a rate per 1,000 eligible views) and Bonus (a reward at view milestones).
- Set the schedule: pay Once when the agreement completes, Weekly on a chosen day, or Monthly, and the first payout date.
- Review and save.
Under More rules you can split a fixed fee into an upfront part, require a minimum number of posts, set minimum or maximum counted views, group cross-posts, and require platforms or a caption keyword.
When you change existing terms, choose an Effective upload date: posts uploaded before it keep their previous terms, and payments already made are never rewritten. Terms history in a creator’s menu shows every version.
How do I cap how much a CPM can pay?
In the CPM part of the payment terms, open More rules and set a Spend cap — a total or per-post amount, for the whole campaign or per day, week or month. You can also set Maximum views so views beyond it are not counted.
Without a cap, Grade warns CPM is uncapped — a viral post pays out without limit.
How do I give a creator a bonus?
There are two kinds:
- Milestone bonuses are part of the payment terms: add a Bonus, choose whether it counts total views, each post or the best post, and add tiers of views and amounts. Choose whether it is paid At campaign completion or As thresholds are met.
- A one-off bonus — in the creator’s menu, choose Payment settings → Edit manual bonus, or add an Additional bonus in More options when you review a payment.
Setting a bonus never sends money by itself; it is paid the next time you pay that creator.
When are campaign creators paid?
Grade calculates what each creator is owed from their terms, their counted posts and the payout timing. Nothing is paid until someone reviews it.
Open the campaign’s Payments tab and choose Review and pay all due, or select creators on the Creators tab and choose Pay due. The same payments are listed in Payouts → Pending payments across every campaign. See How do I pay the creators in a campaign?
A creator cannot be paid while hidden, before their first payout date, or when nothing is due. Grade shows the reason next to them.
How do I remove a creator from a campaign?
Open the creator’s menu in the campaign and choose Remove from campaign.
A creator who has been paid in the campaign cannot be removed, so the payment record stays intact. Choose Manage creator → Hide creator instead: hidden creators stay in the campaign but are left out of pending payments, and you can unhide them later.
Move creator moves a creator to another ongoing campaign, together with their tracked posts, payouts, approvals and payment terms.
How do I add a creator’s posts to a campaign?
Creators do not submit posts in Grade — you add their links. On the campaign’s page choose Add tracking, pick the creator, and paste their account or post links (up to 200). Account links keep importing new eligible posts; you can limit them to a start date, a duration or a caption keyword.
If content review is enabled for your organization, you can approve or reject each post on the campaign’s Tracking tab. Rejected posts are left out of payment calculations.
How do I end, rename or delete a campaign?
Open the campaign’s ⋯ menu:
- Edit campaign — change the title, dates and description.
- Complete campaign — stops tracking and pending payments. The campaign shows as Closed; everything stays readable, and Reopen campaign resumes it under the same terms.
- Delete campaign — removes the campaign and its roster. A campaign with any payout history cannot be deleted; complete it instead.
A campaign whose end date has passed shows as Ended but stays editable until you complete it.
What do the campaign statuses mean?
- Scheduled — the start date is in the future.
- Active — running now.
- Ended — the end date has passed; you can still make changes.
- Closed — the campaign was completed. Nothing can change until it is reopened.
On Campaigns, Open shows everything not yet completed and Closed shows completed campaigns.
What is on the Creators page?
Creators lists everyone in your organization’s roster with their campaigns, posts, payout total and pending balance. Open a creator for their profile: accounts, posts, campaigns and payouts in one place.
Add creators with Add creator — by email, or in bulk from a pasted list or a CSV of up to 500. A creator’s email cannot be changed once they have verified it. A creator can be removed from the roster only after they are removed from every campaign and have no payout history.
What can a Campaign Manager see?
A Campaign Manager sees only the campaigns assigned to them — their creators, tracked posts and analytics. They can review what is due, but cannot send payouts, see the wallet, use Quick Pay or approve payouts. An Admin assigns campaigns in Members → Edit role and access.
Payouts and Payment Delivery

What does each payout status mean?
Open Payouts in the sidebar. Hover or tap a status to see its meaning. In the order a payout usually moves:
- Creating — Grade is creating the payout.
- Created — the payout was created and has not been sent yet.
- Queued — the payout link is ready but has not been sent to the creator yet.
- Sent — the payout email was sent to the creator.
- Notified — the creator received the payout email.
- Claimed — the creator opened the payout link and chose how to get paid.
- Transferring — the transfer to the creator is in progress.
- Paid — the money reached the creator’s bank or wallet.
And the ones that need attention:
- Delayed — taking longer than expected, but still in progress.
- Under review — on hold for a compliance review.
- Delivery failed — the payout link could not be delivered, for example because the email is wrong.
- Expired — the creator did not claim the payout in time, so the link no longer works.
- Failed — the payout could not be completed.
- Reversed — the transfer was reversed after it was sent.
- Cancelled — the payout was cancelled and will not be sent.
What happens after I send a payout?
The creator receives an email with a secure link to claim their payment. They choose an available payout method, complete any required verification, and withdraw their funds.
Once the creator submits their withdrawal, typical delivery times are:
- PayPal: approximately 5 minutes
- Local bank transfer: usually 1–3 days
- International bank transfer (SWIFT): approximately 3 days
Other methods—including card, Payoneer, AirTM, crypto, and gift cards—may have different delivery times depending on the creator’s country and the payment provider.
These times are estimates rather than guarantees. Bank holidays, additional verification, or incorrect payment details may cause delays.
How do I pay the creators in a campaign?
Open Payouts and choose the Pending payments tab. It lists what creators are owed under their campaign terms.
- Select one or more rows and choose Review payments (or Review payment on a single row).
- Optionally open More options to limit the payout window, add a bonus, or change who pays the platform fee.
- Tick the items to pay. Items marked Not yet payable can be paid early; items marked Already paid cannot be selected.
- Check the totals: creator gross, Grade fee, Creators receive, and the Estimated wallet debit.
- Choose Send payments — or Submit for approval if your organization requires approvals.
Grade recalculates the amounts and checks your wallet when you confirm. The result lists each payment as Accepted or Declined; declined ones can be reviewed again.
If the button is unavailable, the reason is shown beside it — most often the wallet needs money, a creator has no email, or an admin still has to set the organization’s preferred currency in Settings → Organization → General.
Who can send payouts?
Admins, Finance and Members can send payouts. Campaign Managers can review payments but cannot send them.
If your organization requires approvals, Members submit payouts for approval and an Admin or Finance member approves them. Admin and Finance send directly. See Can we require payouts to be approved?
How do I cancel a payout?
In Payouts, open the row’s menu (or the payout itself) and choose Cancel payout, then confirm with Cancel payout again. If Grade accepts the cancellation, the money returns to your wallet and Grade says how much was refunded.
A payout can be cancelled while it is Creating, Created, Queued, Sent, Notified, Delayed or Delivery failed. Once the creator has Claimed it or the transfer is under way, it can no longer be recalled from Grade.
Only Admins and Finance can cancel payouts. If a payout is already Paid and you need the money back, contact Grade Support — this is a return request to the creator or their provider, with no guaranteed outcome.
My creator did not receive the payout email. What should I do?
First check the email address on the payout — open it from Payouts and look under the creator’s name. Then ask the creator to check spam, promotions and other filtered folders for an email from no-reply@mg.creatorcheck.io.
To send it again, open the payout’s menu and choose Resend payout email, confirm the address, and choose Send payout email. This is available when the payout is Notified or Paid.
If the status is Delivery failed, the address is probably wrong: cancel the payout and send a new one to the right email. If the email still does not arrive, contact Grade Support with the creator’s email and the payout date.
What should I do if a payment link expired?
Contact Grade Support to either:
- Have the link regenerated and resent to creator
- Have the funds refunded to your wallet and send out a fresh payout
Where do I find a payout’s invoice or receipt?
In Payouts, open the row’s menu and choose View invoice, or open the payout and select the Invoice tab. If none has been issued yet, it says so.
The same documents are in Wallet: each payout row has a Receipt link in the Document column.
Your creator receives their own invoice in the payout email. See Where can the creator see their invoice?
How do I explain a payout or a creator’s earnings?
Choose Payout report at the top of Payouts (or in a payout’s menu). Pick a report type:
- Payout ID — explains one payout: its payment components, the posts it included and excluded, and the invoices it reconciles to.
- Creator activity — everything a creator earned between two dates, optionally across all of their campaigns.
Choose a time zone and Build report, then Download PDF to share it.
How do I export payouts?
In Payouts, set the filters you want — dates, search and status — and choose Export. Pick Download CSV or Download PDF.
The export needs a start and end date, and uses exactly the filters on screen. If the report is too large, shorten the date range. Pending payments cannot be exported; switch to All payouts or By post.
Does a creator need to onboard before I add them to a campaign or send a payout?
No, you can add them to a campaign and send them a payout without any onboarding required.
What should I do if a creator entered the wrong phone number while withdrawing their payout?
Contact Grade Support. Provide the creator’s account email and explain that their verification number needs to be updated.
What should I do if a creator entered the wrong bank details?
Contact Grade Support.
Can creators under 18 receive payments?
The recipient must meet the age-of-majority requirements where they live. When they do not, a parent or legal guardian may need to accept the payment, complete verification, and use the guardian’s own banking information.
Which tax form should my creator fill out?
Your creator should choose the form based on who is getting paid:
- W-8BEN: The creator should use this if they want to withdraw as a non-US individual.
- W-8BEN-E: The creator should use this if they want to withdraw as a business or entity formed outside of the US.
- W-9: The creator should use this if they are a US individual or US business/entity.
Where can my creator access their payout invoice?
When your creator receives the payout email to withdraw their funds, their invoice is linked in the message. They should click the blue receipt link, as shown below, to view it.

Quick Pay

How do I send a one-off payment to a creator?
Open Quick Pay in the sidebar, or choose Create → New payout.
- Enter the Creator’s email. They do not need a Grade account — after the payout is sent they receive instructions to add their payout details.
- Choose Single amount, or Itemized to list each piece of work with its own amount.
- Choose the currency: USD, CAD, GBP or EUR.
- Check who pays the platform fee, and the summary: Platform fee, Creator receives and Wallet debit.
- Choose Review payout, tick I confirm this recipient and authorize this payout, and send.
Grade checks the final amount and your wallet balance when you confirm. The payout then appears in Payouts with its status.
To repeat a previous payment, open it in Payouts and choose Pay again — Quick Pay opens already filled in.
How do I pay many creators at once?
Open Quick Pay and switch to Bulk payouts.
- Prepare a CSV or TSV file with the columns
email,amount, and optionallycurrencyandline_item. - Upload it as the Payout file and choose Preview file. Check the Total payout, the number of Recipients and your wallet balance.
- Choose Review bulk payouts, tick the confirmations, and choose Queue payouts (or Submit for approval).
The batch runs in the background. Check each recipient’s result under Previous bulk payouts → View recipients. If some rows were not sent, download them with Download the rows not submitted — the file is ready to fix and upload again.
Who pays the platform fee?
Your organization sets a default in Settings → Organization → Payments: the creator pays, the organization pays, or a custom split.
Each payout can override it under Platform fee payer — Organization default, Creator pays all, Organization pays all, or Custom split with the organization’s share as a percentage. The summary shows the fee, what the creator receives and what leaves your wallet before you confirm.
Which currencies can I pay in?
Payouts can be sent in USD, CAD, GBP or EUR. Your wallet is kept in USD, so a payout in another currency is converted at current rates, and amounts marked ≈ are estimates until you confirm.
Changing the currency clears the amounts you entered, so pick it first.
Which payout methods are available?
Available options depend on the creator’s country, currency, payout amount, and local requirements. The creator will see the methods available to them during withdrawal.

Wallet Funding, Fees, and Documents

How do I add money to the wallet?
Open Wallet and choose Top up wallet (or Create → Add money).
- Choose an amount. The minimum is $500 USD.
- Choose Review payment. Stripe’s secure checkout opens inside Grade.
- Pick US bank account (ACH) or Card. Grade shows the estimated fee and what will reach your wallet.
- Tick the authorization and choose Pay.
If Grade says Payment submitted, the payment went through — do not pay again. Your wallet is credited once the payment settles.
Only Admins and Finance can add money.
What does it cost to top up?
The payment processing fee is deducted from what reaches your wallet:
- US bank account (ACH) — 0.8%, up to $5.00.
- Card — 2.9% + $0.30. International cards cost more.
These are Stripe’s standard US rates, shown as estimates before you pay. Stripe sets the final fee. For example, a $5,000 card top-up credits about $4,854.70 to your wallet.
How long does it take for funds to appear in my wallet?
Funding time depends on the payment method and banking network. Allow up to three to five business days, but it’s often much faster.
Grade also offers wire transfers, which are typically faster. To fund your wallet by wire transfer, contact Grade Support to request an invoice with the necessary wire instructions.
We recommend funding your wallet ahead of scheduled payouts.
What do the amounts on the Wallet page mean?
- Available balance — money you can pay out now.
- Processing top-ups — top-ups that have not settled yet. They are not available until they do.
- Pending invoices and Contractual commitments — what you owe creators. These are obligations, not money set aside: they are still part of your available balance until paid.
- Balance after pending invoices — what would be left once the pending invoices are paid.
On Payouts, Pending payouts and Committed payouts work the same way: amounts owed, not reserved funds.
Where are my top-up invoices and payout receipts?
In Wallet, every transaction has a document in the Document column: an Invoice for a top-up and a Receipt for a payout. Use the Type filter to show only Top-up, Payout, Quick Pay or Bonus credit.
Open a document to view or download the PDF. Future invoices use the billing details in Settings → Organization → Payments → Invoice details; an Admin or Finance member can also correct the billing information on a past invoice.
How do I export a wallet statement?
In Wallet, set the dates, filters and search you want, then choose Export CSV or Export PDF. The export includes every matching transaction, up to 10,000.
Dates in the filter are whole UTC days.

Can we require payouts to be approved before they’re sent?
Yes. Approvals are off by default. An Admin turns them on in Settings → Organization → Payments → Require approval.
Once on, Members who send a payout — from Quick Pay, a bulk file or a campaign’s pending payments — see Submit for approval instead of sending. Nothing is paid and the creator is not notified until an Admin or Finance member approves it. Admins and Finance still send directly.
Turning approvals off rejects every pending request and cancels its invoice. Turning them back on does not restore them.
How do I approve or deny a payout?
Open Approvals in the sidebar. It lists the requests waiting for a decision, with the creator, the amount and what it will debit from your wallet.
- Open a request, or select several.
- Choose Approve & pay to pay it from your wallet, Deny payout to send nothing, or Cancel request to withdraw your own request.
- Optionally add a Note to requester — it is kept on the request.
Approving pays straight from the wallet, so the wallet needs enough money first. On a keyboard, J and K move between requests, A approves and D denies.
Who can submit and approve payouts?
- Admins and Finance approve or deny requests, and their own payouts are sent without approval.
- Members prepare payouts and submit them for approval.
- Only the person who submitted a request can cancel it.
- Campaign Managers can review what is due in their campaigns but cannot send or submit payouts, and do not see Approvals.
Approvals work for single payouts, bulk files, and campaign payments — up to 50 campaign payments in one submission.
What happens when a payout is denied?
Nothing is sent and no money leaves the wallet. The requester is notified, and can read any note the approver left under Rejection notes in the request’s details.
To pay it after all, correct what was wrong and submit it again.
Is there an audit trail of approvals?
Yes. Open any request in Approvals and choose its details: who requested it and when, who decided and when, the creator’s gross and net amounts, the wallet debit, who paid the platform fee, the campaign, and every note. Choose All statuses to see past requests as well as open ones.
Where are the financial reports?
Financial reports — opening and closing balances, top-ups, payouts, fees and reconciliation — are still in classic Grade. Choose Reports under Financials in the sidebar; it opens in classic with the same data. Reports are available to Admins and Finance.

How do financial reports handle currencies and exchange rates?
Reports support multiple currencies and convert historical transactions using the exchange-rate information available for the relevant period.
For the simplest reconciliation, we recommend generating reports in USD.
Team, Roles, and Settings

What can each role do?
- Admin — manages organization settings, members, campaign access and payment operations. The only role that can remove members or change someone’s access.
- Member — works on the organization’s campaigns and can invite people. Payments follow the organization’s approval settings.
- Finance — payments, approvals, the wallet and financial reports. Does not see campaigns, creators or tracking, and cannot manage members.
- Campaign Manager — only the campaigns assigned to them. Can review payments but not send them, and does not see the wallet, Quick Pay or approvals.
- Developer — only the Developer area: API applications and keys.
Only Admins and Finance can add money to the wallet or approve payouts.
How do I invite someone to my organization?
Open Members and choose Invite member (or Invite multiple people for several addresses at once).
- Enter the email address and choose a role.
- For a Campaign Manager, pick the campaigns they can access — at least one.
- Choose Send invite.
The invitation expires after seven days and shows as Pending invite until it is accepted. Admins and Members can invite. The invited person should open the link in the email rather than signing up on their own.
How do I change someone’s role or remove them?
In Members, open the person’s menu and choose Edit role and access, Remove member, or Cancel invitation for someone who has not joined yet.
Removing a member ends their access to the organization and its campaigns; it does not delete their Grade account. Only an Admin can change access or remove members. To leave an organization yourself, choose Leave organization on your own row — owners cannot leave.
Where are the organization settings?
Choose your organization’s name at the top of the sidebar, or Organization settings in the account menu. The tabs you see depend on your role:
- General — name and logo, preferred currency and time zone. Changing the time zone also moves future pay cycles.
- Payments — who pays the platform fee, approvals, the payout highlight threshold and invoice details.
- Content — content review rules.
- Integrations — Slack, Discord and webhook notifications.
- Members — everyone in the organization.
Admins see every tab. Finance sees General, Payments and Members, and can view but not change General. Everyone else sees Members.
How do I change my name, picture or notifications?
Open the account menu at the bottom of the sidebar and choose Account settings. There you can update your profile picture and name, choose which activity you are notified about, and manage product analytics under Privacy.
Your sign-in email cannot be changed there — contact Grade Support to change it. Admins also choose when they receive emails about actions in the organization.
Can Grade send notifications to Slack or Discord?
Yes. An Admin connects Slack, Discord or a Generic webhook in Settings → Organization → Integrations, chooses which events to send — including performance milestones — and can send a Test event to check the connection.
How do I delete my account?
In Account settings, choose Delete account and type Delete my account to confirm.
This permanently removes your sign-in and personal settings, and deactivates every organization you own, including member access and connected inboxes. Historical records may be retained. It cannot be undone.

Does Grade have an API?
Yes. API documentation is available at https://api-docs.usegrade.com/
Contact Grade Support for access.
Once granted access, live credentials can be created from the Developer area by an authorized administrator or developer.
Never share API keys in Slack, email, screenshots, or support messages.
How do I create an API key?
Open Developer in the sidebar.
- On Applications, choose New application — use one per environment or project.
- Open the application and choose Create key. Pick Full access, Read only or Custom, and with Custom set each area — Analytics, Campaigns, Payouts and KYC — to the level it needs.
- Copy the secret from Save your API key. It is shown only once; Grade keeps only its fingerprint.
Rotate key gives a new secret without changing the key’s name or permissions. Revoke key stops it immediately and cannot be undone. Deleting an application revokes all of its keys.
Under Allowed origins you can limit which websites may call the API from a browser; empty means any origin. Server-to-server calls are not restricted by origin.
Why can’t I see the Developer area?
The Developer area needs two things: your organization’s developer portal turned on, and your role set to Admin or Developer. Finance and Campaign Managers never see it.
If it says Developer Portal Disabled, an Admin of your organization turned it off; ask them to turn it back on. For API access in the first place, contact Grade Support.
What else is in the Developer area?
- KYC — invite a payout recipient to verify their identity through a hosted link, and cancel invites or remove connections.
- Notifications — emails when a payment is started through the API, and a low-balance alert with your own threshold.
- Email branding — the logo and signature on payout and KYC emails sent through the API.

How can I connect Grade to another system?
Use the API for custom integrations. For bulk workflows that do not require a live integration, CSV upload through Quick Pay is usually the simplest option.
